AI Usage Policy

Guidelines for the Use of Artificial Intelligence in Article Writing

1. General Principles

The use of Artificial Intelligence in the writing of journal articles must uphold the following principles:

  • Academic integrity
  • Transparency
  • Authorial accountability
  • Originality of scholarly work

Artificial Intelligence shall function solely as an assistive tool and must not replace the intellectual role and responsibility of the author.

2. Limitations on the Use of Artificial Intelligence

Artificial Intelligence may be used for the following purposes:

  • Assisting in the development of the structure of a manuscript
  • Improving grammar and writing style
  • Providing preliminary ideas through brainstorming
  • Assisting in summarising relevant literature

Artificial Intelligence must not be used to:

  • Generate the entire content of an article without human verification
  • Produce fabricated research data
  • Manipulate research findings
  • Replace the author’s critical analysis

3. Transparency Requirements

Authors are required to:

  • Disclose the use of Artificial Intelligence in the methods section, acknowledgements, or a dedicated note
  • Explain the extent to which Artificial Intelligence was used in the writing process
  • Specify the name of the Artificial Intelligence tools used, such as ChatGPT or Grammarly

Example statement:

“The author used AI-based tools to assist with language editing and the structuring of the manuscript.”

4. Author Responsibility

  • Authors remain fully responsible for the entire content of the article.
  • All information generated by Artificial Intelligence must be verified for accuracy.
  • Authors must ensure that plagiarism does not occur.

Artificial Intelligence cannot be listed as an author.

5. Ethics and Scientific Integrity

The use of Artificial Intelligence must avoid:

  • Plagiarism, whether direct or indirect
  • Algorithmic bias without critical evaluation
  • Copyright infringement

Authors must ensure that:

  • Citations are conducted manually and accurately
  • Data interpretation is carried out independently

6. Data Use and Privacy

  • Sensitive or confidential data must not be entered into Artificial Intelligence systems.
  • Researchers must not enter respondents’ personal data into Artificial Intelligence systems without permission.
  • Research data must be anonymised.
  • Informed consent must be obtained from participants.
  • Applicable data protection regulations, such as the General Data Protection Regulation or institutional policies, must be complied with.

7. Journal and Publisher Standards

Authors must comply with the policies of publishers or organisations, such as:

  • Committee on Publication Ethics
  • Elsevier
  • Springer Nature

This is necessary because each journal may have specific regulations concerning the use of Artificial Intelligence.

8. Sanctions for Violations

Violations of these guidelines may result in:

  • Rejection of the article
  • Retraction of the publication
  • Academic sanctions in accordance with institutional policies

9. Recommended Best Practices

  • Use Artificial Intelligence only as an assistant, not as the primary author.
  • Conduct final editing manually.
  • Use plagiarism detection software before submission.
  • Discuss the use of Artificial Intelligence with co-authors.
