Electronic Filling Policy

'ASABIYAH: Jurnal Pengabdian Hukum employs a fully digital, web-based electronic filing and submission management system powered by Open Journal Systems (OJS). This policy outlines the standards and procedures for submitting, storing, archiving, and managing electronic files across all stages of the editorial and publication workflow.

1. Mandatory Electronic Submission

All manuscripts, supplementary files, revision notes, and ethical statements must be submitted electronically through the official journal portal. Submissions delivered via email, postal services, or messaging platforms will not be processed into the review pipeline. Authors must create a registered user account on the portal to manage and track their active submissions.

2. File Format Specifications

To ensure software compatibility, long-term readability, and accurate layout production, authors must adhere to the following file format standards:

  • Initial & Revised Manuscripts: Must be submitted in editable Microsoft Word format (.doc or .docx). PDF files are not accepted for the main manuscript text during the submission or review phases.

  • Supplementary Files: Additional legal documents, survey instruments, raw data sets, or outreach photos may be uploaded in standard formats such as .pdf, .xlsx, .csv, .jpg, or .png.

  • Final Published Articles: The production team converts all accepted papers into standardized electronic formats, including PDF (Portable Document Format) and HTML/XML metadata for web indexing and digital dissemination.

3. File Naming Conventions

To maintain systematic digital records and prevent file corruption or confusion during double-blind peer review, authors are requested to follow clean file-naming conventions:

  • Main Blinded Manuscript: File names should omit author names or institutional identifiers (e.g., Manuscript_Title_Asabiyah.docx).

  • Title Page & Cover Letter: File names containing author details should be uploaded separately as supplementary files (e.g., TitlePage_AuthorName.docx).

  • Revised Manuscripts: Revisions must be clearly labeled when uploaded to the system (e.g., Revised_Manuscript_v2.docx).

4. Digital Preservation and Long-Term Archiving

To guarantee permanent access to published legal and community outreach research, 'ASABIYAH: Jurnal Pengabdian Hukum participates in international digital archiving network initiatives:

  • PKP Preservation Network (PKP PN): Automatically preserves published content across distributed library systems.

  • LOCKSS & CLOCKSS: Journal content is digitally preserved across participating academic library networks to ensure permanent availability even in the event of platform downtime or journal cessation.

  • DOI Registration: Every published article is assigned a persistent Digital Object Identifier (DOI) registered through Crossref, ensuring permanent digital traceability and citation linking.

5. Security and Data Integrity

All electronic files uploaded to the journal platform are stored on secure servers maintained by the publisher. Access to unpublished files is strictly restricted to authorized editorial board members and assigned peer reviewers to safeguard intellectual property and maintain double-blind confidentiality.
